ABOUT THE JOB:
Provides complete administrative and secretarial support to the Director of Building Services and Operations support programs, is responsible for the effective operation of the Central Services office and requests made to that office. Provides secretarial and clerical skills required to support the Operations department account records. Frequently must prioritize many routine administrative matters. Works fairly independently, requiring minimal supervision and guidance.
Duties & Responsibilities:

Performs secretarial support including administrative, procurement and contract filings, financial records and reports.

Drafts correspondence and maintains confidential files, types documents and mails responses of dated material.

Organizes and maintains databases; maintains CCS and payroll reports along with night service logs and overtime.

Prepares and checks papers, records, payments and CCS reports including tracking, analyzing and classifying information of a routine nature. Inspects all documents and submittals, purchase orders and requisitions for completeness.

Receives and processes work order requests. Assists department support staff as needed and/or requested.

Performs other related duties as required.
Minimum Qualifications & Experience:
High School diploma or GED is required. A minimum of five (5) years secretarial experience is required. Experience in database and spreadsheet application, including Microsoft Office is required. Excellent ability to meet deadlines, balance competing priorities, perform under pressure and maintain confidentiality is essential. Individual should be comfortable working in a busy office environment and have the ability to work well with others.
