ABOUT THE JOB: 
Reporting to the Chief of Staff or their designee, the Special Assistant for Administration will support the implementation of BHA’s strategic priorities. This role will be responsible for helping the Chief of Staff and other senior colleagues build and maintain programs, systems, and structures that enhance BHA housing communities and stakeholder coordination. This role will support work across BHA departments.
The position requires an independent self-starter with a strong attention to detail to provide staffing support to the Administrator in professional settings, coordinate special projects, and ensure follow up of inquiries and issues raised to the Administrator. The position requires sound independent judgement and planning to relieve the Chief of Staff of high-level constituent responses, writing and scheduling tasks as well as routine office matters.

Duties & Responsibilities:

  • Representing BHA and its mission during community benefits processes involving BHA housing communities

  • Managing and tracking the utilization of community benefits funds at BHA housing communities

  • Coordinating stakeholders to develop plans for community benefits funds

  • Coordinating implementation and reporting for the BHA resident survey

  • Organizing engagement activities related to the BHA resident survey

  • Following up on constituent issues as raised by various levels of government, including those internal to BHA and those that require intervention with another government agency

  • Supporting grants and partnership coordination

  • Supporting the coordination of interagency initiatives and cooperative efforts

  • Writing reports, proposals, and other documents as-needed on behalf of the BHA

  • Performs other related duties as required 

Minimum Qualifications & Experience:

High school diploma or GED is required. A Bachelor’s degree is preferred. Past coursework or experience in public administration, business administration, customer/constituent services, social work, or a related field is a plus. Experience in a professional or executive support role may be a substitute for education requirements. The capacity to manage multiple projects and tasks and adapt well to changing priorities is required. Must be able to communicate clearly and concisely both orally and in writing. Must be able to demonstrate strong computer skills as well as an ability to handle confidential and sensitive information with great care. Must be able to deliver excellent customer service in a fast-paced environment and treat all constituents with courtesy and professionalism. Excellent clerical, organizational, proofreading and word processing skills. Experience with (or ability to quickly learn) public housing and Section 8 program eligibility requirements and processes a plus. Proficiency in a language other than English, especially Spanish, Chinese, and/or Haitian Creole is highly desirable. This position will be expected to report in person to 52 Chauncy Street at least 4 days a week. The position is expected to have evening and weekend availability.
